Privacy policy

Your data. Your transactions. Your commission.

AdamationAI does not sell, rent, or monetize customer data. That is not a policy we revise. It is the foundation of the product. Row level isolation enforces customer to customer separation at the database layer.

AdamationAI is operated by ACER FIVE LLC d/b/a AdamationAI, a Florida limited liability company. This policy covers the website, web application, and native mobile app.

Who this policy covers

This policy applies to (a) visitors to adamationai.com, (b) customers of the AdamationAI platform, and (c) the clients of those customers whose information flows through the platform (agents\u2019 buyers, sellers, and sphere contacts).

What we collect

  • Account data: name, email, brokerage, role, billing address.
  • Operational data: leads, contacts, transactions, documents, communications, and files your customers or their clients enter.
  • Usage metrics: page views, feature usage, and errors, to improve the product.
  • Mobile app data: push notification tokens, device type, app version, uploaded documents, uploaded property photos, and photo metadata when you choose to upload a photo.
  • Marketing attribution: gclid, UTM parameters, referrer, and device type when you arrive via an ad or campaign.

Mobile permissions

The AdamationAI mobile app may request camera, photo library, document picker, and push notification permissions. Camera and photo access are used only when you choose to take or upload a property photo or transaction document. Push tokens are used to send alerts about leads, replies, reminders, transactions, documents, and showings. We do not access microphone audio and the Android app blocks microphone permission.

Legal basis (for EU or UK residents)

  • Contract: processing required to deliver the service you purchased.
  • Consent: for analytics, advertising cookies, and marketing email.
  • Legitimate interest: for security monitoring, abuse prevention, and B2B outbound sales at scale appropriate to our size.
  • Legal obligation: for tax and record retention required by US federal and state law.

Service providers we use

We use the vendors below to deliver the service. Each is bound by a data processing agreement that restricts them to processing data on our instructions. None are permitted to use your data to train their own models or monetize it.

Infrastructure

  • Supabase: Database, authentication, file storage (US).
  • Vercel: Hosting, edge network, deployment (US).

Communications

  • Resend: Transactional and marketing email delivery (US).
  • Twilio: SMS delivery and phone verification (US).
  • Google (Gmail API): Customer initiated email sending (OAuth, user owned mailbox) (US).

AI processing

  • Anthropic: Claude models for document parsing, lead scoring, content drafting (US).
  • OpenAI: Supplemental model for specific features (US).
  • Google (Gemini): Image and document vision tasks (US).

Analytics and advertising

Operations

  • Sentry: Application error tracking and monitoring (US).
  • Stripe: Subscription billing and payment processing (US).
  • Calendly: Demo booking and calendar scheduling (US).
  • BoldSign: Electronic signatures for transaction documents (US).

Prospecting and enrichment (B2B)

  • Apollo: B2B contact enrichment for our own outbound sales (US).
  • HasData, RentCast, Apify, Tracerfy: Real estate market data and property enrichment (US).
  • HeyGen: Marketing video generation (no customer data processed) (US).

Retention

  • Customer operational data: retained for the life of the account, deleted within 30 days of account closure unless legally required to retain longer.
  • Billing records: seven years (IRS requirement).
  • Marketing analytics (GA4, Meta, Ads): default vendor retention (14 to 26 months).
  • Application error logs: 90 days.
  • Email communications we sent or received: five years.

Your rights

You can request access to your data, a full export, correction, deletion, or a stop to processing. Email privacy@adamationai.com and we respond within 15 business days. EU and UK residents additionally have rights to restrict processing, object to processing, and data portability.

Account and data deletion

AdamationAI accounts are usually created by a brokerage or team administrator. You can request account deletion, organization export, or deletion of your personal data at /account-deletion or by emailing privacy@adamationai.com. We verify the request, coordinate with the account owner when needed, and complete deletion within 30 days unless legal retention obligations apply.

International transfers

We are a US company and data is stored in US data centers. For EU or UK residents, transfers rely on Standard Contractual Clauses with our subprocessors.

Changes to this policy

When we add a new service provider or materially change how we handle data, we update the "Last updated" date above and notify active customers by email.
