Our commitment
Adamation AI is operated by ACER FIVE LLC, doing business as Adamation AI, a Florida limited liability company. We do not sell customer operational data for money, and we do not use it to build advertising profiles for other companies. We process it to provide, secure, support, and improve the services a customer selects.
This policy applies to adamationai.com, the Adamation AI web and mobile applications, configured automations, and connected services. It explains our own practices and how we process information for brokerage customers.
Our role and who this policy covers
For website visitors, prospects, account administrators, and direct support contacts, we generally act as the business responsible for deciding how information is used. For leads, clients, agents, transaction participants, and sphere contacts whose data a brokerage places in the platform, the brokerage generally controls the data and we process it on the brokerage's instructions. Requests about brokerage-controlled data may be referred to that brokerage.
Information we collect
- Account and organization information: names, business contact details, brokerage, role, permissions, authentication records, billing details, and support communications.
- Customer and transaction content: leads, contacts, notes, communications, appointments, properties, transactions, checklists, offers, commissions, documents, signatures, and files submitted by or for a customer.
- Connected-service information: OAuth tokens, account identifiers, granted permissions, mailbox and message metadata, relevant message content, calendar events, contacts, advertising accounts and campaign data, social content, and integration logs when a user enables those connections.
- Device, usage, and security information: IP address, browser and device type, app version, pages and features used, audit events, diagnostics, errors, cookies, and security signals.
- Mobile and property information: push tokens, uploaded photos and documents, photo metadata, and foreground location and compass data when a user chooses a location-assisted property-photo workflow.
- Marketing and attribution information: referrer, campaign and UTM parameters, click identifiers, conversions, cookie choices, and interactions with our website, email, or advertising.
- Enrichment information: public, licensed, or customer-provided business, professional, property, and market data used for authorized prospecting, property research, and data-quality features.
How we collect information
We collect information directly from users and customer administrators, from devices and product activity, from services a user chooses to connect, from customer-configured forms and automations, and from public or licensed business and property-data sources. A user can decline optional device permissions or disconnect an integration, although the related feature may then stop working.
How we use information
- Provide CRM, lead response, transaction, document, calendar, and reporting tools.
- Send or schedule user-authorized email, SMS, notifications, signatures, social content, and advertising actions.
- Enrich and verify customer-authorized records, research properties and businesses, attribute leads, and measure campaign performance.
- Generate drafts, summaries, classifications, structured document data, images, videos, and recommended next actions using automated and AI-assisted tools.
- Authenticate users, enforce permissions, prevent abuse, troubleshoot, support customers, maintain audit records, and improve reliability.
- Process subscriptions, communicate about the service, comply with law, and establish or defend legal claims.
Google API data and connected Google services
Google connections are optional and activated only after a user authorizes the requested permissions. Depending on the connection enabled, Adamation AI may:
- read relevant Gmail messages and thread metadata as needed to identify replies, associate conversations with user-selected CRM records, and display requested context;
- create message drafts inside Adamation AI and send only messages that a user has reviewed or specifically authorized through a configured workflow to recipients selected or supplied by the user;
- read, create, update, or delete Google Calendar events for synchronization, availability, showings, appointments, reminders, and transaction deadlines;
- read and manage authorized Google Ads accounts, campaigns, budgets, targeting, search terms, negative keywords, conversions, and performance reporting;
- import Google Contacts or read and upload YouTube content only when the related optional or beta connector is enabled and separately authorized.
Google Workspace permissions are not used for unsolicited commercial prospecting, cold email, mailbox warming, purchased lists, or recruiting outreach without prior recipient consent. The public Service does not expose automated cold prospect sending. AdamationAI's private internal B2B operation is unavailable to customers, is isolated from Google OAuth, and uses separate non-Google delivery infrastructure.
Raw Google data. Depending on the connector, raw data may include encrypted OAuth tokens, Google account and customer identifiers, granted scopes, Gmail message bodies and headers, thread and delivery metadata, Calendar event fields and attendees, and Google Ads account, campaign, targeting, conversion, change, and performance data.
Derived, aggregated, and de-identified Google data. We may derive reply classifications, CRM conversation associations, response-time and activity counts, calendar synchronization state and workload summaries, advertising performance trends, recommendations, and audit history. These records are used only to provide, secure, support, troubleshoot, or improve the user-facing connected features. They are not used for targeted advertising, lending or credit eligibility, data-broker products, or generalized AI model training.
Transfer, protection, and retention. Raw or derived Google data is disclosed only to the customer's authorized users, connected Google services, and contracted infrastructure, workflow, support, or AI processors that need it to deliver the selected feature. We do not sell it or transfer it to advertisers or data brokers. We use access controls, organization-level database isolation, encryption in transit and at rest where supported, encrypted OAuth credentials, audit logging, and service monitoring. OAuth credentials are retained while the connection remains active and deleted when it is disconnected. Synced Google records are generally retained while the account is active and are scheduled for deletion within 30 days after a verified deletion request, except for limited security, audit, suppression, legal, or backup records described below.
We do not use raw, derived, aggregated, or de-identified Google Workspace data to develop, improve, or train a generalized AI or machine-learning model. When a user requests an AI-assisted feature involving Workspace data, we use only commercial API services whose terms prohibit using API inputs and outputs to train generalized models without an explicit opt-in. We do not enable such training or data-sharing opt-ins for Google Workspace data. Human access is limited to user direction, support with permission, security or abuse investigation, or legal requirements.
Adamation AI's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Users may disconnect Google from the platform and may also revoke access in their Google Account security settings.
AI-assisted and automated features
Automated features may parse documents, draft communications, classify replies, prioritize sales follow-up, summarize activity, recommend workflow or advertising changes, and generate media. Inputs and relevant context may be sent to the model or media provider needed for the selected feature. We configure commercial API services to process that information for the requested feature and apply provider privacy and security controls where available.
We do not permit an AI or media provider to use Google Workspace API data to develop, improve, or train a generalized model. Workspace data is processed only to complete the specific user-requested feature under commercial API terms and the Limited Use restrictions described above.
AI outputs can be incomplete or incorrect and are designed for human review. The platform is not intended to make housing eligibility, credit, employment, insurance, or other legally significant decisions about a person. Sales-priority scores and property insights are operational aids, not appraisals, legal advice, or a substitute for professional judgment or fair-housing compliance.
Mobile permissions
The mobile app may request camera, photo-library, document-picker, notification, and foreground-location permissions. Camera and photo access are used when a user chooses to capture or upload property photos or transaction documents. Location and compass data are used only during a user-initiated location-assisted property workflow, with manual address entry available as a fallback. Push tokens deliver requested lead, reply, reminder, transaction, document, and showing alerts. We do not request continuous background location or microphone access.
When we disclose information
We disclose information to service providers and connected platforms to perform the purposes described above; to a customer's authorized users and administrators; at a user's direction; during a corporate transaction subject to appropriate safeguards; or when reasonably necessary for security, legal process, or protection of rights. We do not permit a service provider to use customer operational data for its own unrelated advertising purposes.

The providers below support current features or optional, customer-enabled integrations. A customer's configuration determines which providers receive data. Providers process information under their applicable contracts, privacy terms, and the instructions associated with the enabled service.
Infrastructure and workflow automation
Communications, scheduling, and signatures
- Resend: Transactional and platform email delivery.
- Twilio: SMS delivery and phone verification.
- Google Workspace and Microsoft Graph: User-authorized email, calendar, contacts, and related account integrations.
- Calendly: Demo booking and meeting scheduling.
- BoldSign: Electronic signature requests and transaction documents.
AI and media processing
- Anthropic: Document extraction, classification, scoring, summaries, and content drafting.
- OpenAI: Language and media processing for selected product features.
- Google AI: Language, image, and document processing for selected product features.
- Replicate, HeyGen, and Creatomate: Optional image, video, avatar, and media generation.
Advertising, analytics, and connected channels
- Google Analytics and Google Ads: Website analytics, attribution, advertising, and user-authorized Ads management.
- Meta: Website attribution and optional Facebook and Instagram publishing or Ads workflows.
- LinkedIn, TikTok, and YouTube: Optional connected-channel publishing, reporting, or media workflows.
- Microsoft and Monday.com: Optional account, productivity, and workflow integrations.
Cookies, analytics, and advertising choices
We use essential cookies for security and functionality. With the choices available in our consent tools, analytics and advertising technologies may collect website and campaign interactions for measurement, attribution, and relevant advertising. We do not sell customer operational data for money. Some state laws may define disclosure of website identifiers for cross-context behavioral advertising as "sharing." You can opt out through our cookie controls or the Do Not Sell or Share page. We honor applicable browser-based opt-out preference signals, including Global Privacy Control, where legally required.
Legal bases for EEA, UK, and Swiss users
Depending on the context, we rely on performance of a contract, consent, compliance with legal obligations, and legitimate interests such as securing the service, supporting customers, improving reliability, and responsible business-to-business marketing. Where we process customer-controlled data, the customer determines the applicable legal basis.
Retention
We retain information for the period needed to provide the service, honor customer instructions, meet legal obligations, resolve disputes, enforce agreements, and protect the platform. Customer operational data is generally retained while an account is active and scheduled for deletion within 30 days after a verified account closure request, subject to contractual or legal holds. Billing records may be kept for seven years. Security, audit, suppression, consent, and communication records may be retained for the period needed to demonstrate compliance and prevent abuse. Backups are overwritten on a rolling schedule, and de-identified statistics may be retained where they cannot reasonably identify a person.
Security
We use administrative, technical, and physical safeguards designed for the nature of the information, including access controls, organization-level database isolation, encryption in transit and at rest where supported, encrypted connected-account credentials, audit logging, and service monitoring. No security method is perfect, and we cannot guarantee that unauthorized access will never occur. See our Security page for additional information.
Your privacy rights
Depending on where you live, you may have rights to know, access, correct, delete, or obtain a copy of personal information; opt out of sale, sharing, targeted advertising, or certain profiling; restrict or object to processing; withdraw consent; and appeal a denied request. We will not discriminate against you for exercising an applicable right. Authorized agents may submit requests where permitted by law.
Submit a request to privacy@adamationai.com. We will verify the request and respond within the period required by applicable law. If the information is controlled by a brokerage customer, we may direct the request to that customer or assist it in responding.
Account and integration deletion
Account administrators can request an organization export or deletion. Individuals can follow the instructions at /account-deletion or email privacy@adamationai.com. Disconnecting an integration stops new collection from that service but does not automatically delete records already incorporated into customer workflows or required audit logs. A user may request deletion of those records subject to the limits above.
International transfers
We are based in the United States and primarily use US-based service infrastructure. Information may therefore be processed outside the country where it was collected. Where required, we rely on recognized transfer mechanisms and contractual safeguards, such as Standard Contractual Clauses.
Children
The service is intended for businesses and real estate professionals, not children. We do not knowingly collect personal information directly from anyone under 13. If you believe a child has provided information directly to us, contact us so we can review and delete it as appropriate.
Changes to this policy
We update this policy before materially changing how we use personal information or launching a feature that requires materially different processing. We will post the revised date and provide additional notice or request consent when required by law or Google API policy.
